The Japan HopFest Passport is run by Sake Matsuri Pte Ltd (UEN 202230081D), the organiser of Japan HopFest. We keep what we collect to the minimum the stamp rally needs, and we handle it in line with Singapore’s Personal Data Protection Act 2012.
What we collect
- When you sign up: your name, your email, whether you’d like our news, and which bar’s QR code you started from.
- When you’re stamped: which bar, when, and the Singapore brewery if the bartender tapped one.
- Location check: when you’re stamped, your phone’s location is used once to work out how far you are from the bar. We keep only whether you were in range and that distance. We never store your location and never track you between stamps.
- Teams: the team you join. Teammates see your first name and stamp count; the public leaderboard shows team names only.
- At the festival: your ticket order number, the tokens and draw entries you received, and any lucky draw prize you win and claim.
- Security: your IP address, only to block repeated wrong PINs. It’s cleared after 15 minutes.
We don’t collect your phone number, date of birth, address or payment details.
Why
- To run the passport: record your stamps, work out your rewards, and give you your tokens and prizes.
- To email you your passport link, and updates about your rewards and prizes.
- To keep it fair: spot stamps collected away from the bar, and stop PIN guessing.
- To tell each participating bar how many passports were stamped and started there. Bars see totals, not your details.
- Only if you ticked the box: to send you Japan HopFest and Sake Matsuri news. You can unsubscribe from any email.
Who else sees it
Our festival counter staff, to give you your tokens. If you win a prize, the bar giving it sees your prize on your phone when you claim it. Our service providers store and send it for us (Cloudflare for hosting, and our email provider). We don’t sell your data or share it with anyone else for marketing.
How long we keep it
We delete your passport, stamps and location results by 31 January 2027, after prize claims close. If you opted in to news, we keep your name and email until you unsubscribe.
Your choices
You can ask to see, correct or delete your data, or withdraw your consent, at any time by emailing kanpai@japanhopfest.com. Deleting your passport before the festival means losing your stamps and rewards.
